Conference Facilities
Accommodations:
Conference sessions and workshops, as well as the Friday evening banquet, will be held in centrally-located buildings (Freeborn Hall, the Memorial Union (MU), Wellman, and Olson). These buildings are all within easy walking distance of one another, and all are located near UC Davis's Quad. They are a ten-minute walk from the Segundo Residence Halls and a short walk from the Downtown Davis hotels. Presenters will have access to computers and projectors, and wireless access to the internet will be available in all conference rooms and in surrounding hallways.
Exhibitors:
The publishers will have a room where they can display their books and materials throughout the conference. We will coordinate times around the Townhalls and some breaks where snacks and coffee will be available in the Exhibitors' Room (MU II). This set up will allow the publishers representatives and editors to observe sessions and then have 4-7 times where they will have a concentrated group of conference participants looking at their materials.
Computer Support:
UC Davis's Division of Information and Education Technology (IET) plans to offer conference support services that equal to or surpass the services provided for major technology conferences such as EDUCAUSE. IET's Academic Technology Services (ATS) Department will provide the following services free of charge to the Conference:
A. Computers and Writing 2009 Online Sessions: Feb., 2009
- A public Smartsite (Learning Management System) Site for asynchronous interactions.
- Adobe Connect Professional for the online synchronous discussions and presentations.
- Connect Pro is capable of delivering and sharing content (e.g. Powerpoint, Flash, and other original formats), video and/or audio recordings, application sharing, collaborative whiteboards, collaborative writing, and other capabilities.
- Archived versions of all Connect Pro sessions will be available online.
B. Conference: June 18-21 (Thurs.-Sun.), 2009.
Thursday Workshops:
- Computer Lab / classroom availability (actual needs must be booked as early as possible as these rooms book up well in advance);
- Wireless access to the internet in all workshop rooms
- Access to technical support staff
Friday through Sunday:
- Keynote addresses and Townhall Meetings:
- All keynote addresses will have the ability to combine audio and all visuals viewed via the projector (i.e. powerpoint, websites, etc) into a single presentation format and made available online. (There will be a fee for the video portion only – see below).
- If video format is not required, podcasting will be available free of charge.
- Laptop computer and projection equipment will be available, along with technical support.
Conference Sessions:
- Podcasting of presentations/sessions will be available for all conference sessions, unless requested not to do so. All podcasts will be edited for the opening few minutes to ensure clean starts.
- Two conference rooms will have the ability to combine audio and all visuals viewed via the projector (i.e. powerpoint, websites, etc) throughout the conference. (There will be a fee for the video portion only – see below).
- Those sessions only being podcasted, will have powerpoint slides available separately, via the web.
- All podcasting and powerpoint files provided online will be available publicly for two years.
- Laptop computer and projection equipment will be available, along with technical support.
- Wireless access to the internet will be available in all conference rooms and in surrounding hallways. (Note: at this time, we cannot confirm that the campus will have ubiquitous wireless available on the campus, however it is certainly feasible to provide this access within a defined area should that not be the case).
C. Post-conference: 1-year open Sakai site and 2-years of archives
- All podcasting and powerpoint files of keynote addresses and conference sessions will be provided online and available to the public for two years.
- Pre-Conference SmartSite (Sakai site) will be available publicly for one year.
In addition, our ATS department will provide the following additional media services for a fee:
- CDs containing podcasting / mp3 files can be made available for a fee. These can be ordered and paid for by attendees during the conference. Orders will not be accepted after June 22nd, 2009. An “original” master CD will be provided to the conference organizers should you wish to make future copies available. The final cost of the CD’s of the conference will be determined once there is more information on number of events/hours, and anticipated interest in this service. Cost of CD’s will cover production and delivery costs.
- Video webcasting/streaming of individual addresses or sessions, plus hosting of these streamed events will be as follows:
- Video recording of one hour presentation (Single Camera) - $200/hr (includes set up)
- Hosting 1 hour video via webstreaming for 2 years – $1950 (2nd year free)
- Adobe Presenter production of 1 hour presentation – including single camera video, powerpoint indexing and searching capabilities, etc. - $700 (Final format is a Flash file, which can be viewed in any browser).
- Support for Second Life, development work in Second Life, or any similar type of animation work (e.g. Maya, Unity, fireworks, etc) is available at a rate of $75/hour.
Copyright:
Permission will be required from presenters in order to make podcasts, video streams, PowerPoint files, Adobe Connect Pro archives and any/all publicly available media. This will include the conditions, if any, for reproduction/use by the public. Where possible, the Planning Committee will encourage participants to use Creative Commons Licenses for their presentations and materials.
The Planning Committee will work closely with IET/ATS throughout the preparation, conference and post-conference portions of Computers and Writing 2009. From the conference's conception, planning and implementation stages, the support from IET/ATS promises to make UC Davis an ideal location not only to host Computers and Writing but to host a conference with the theme of Ubiquitous and Sustainable Computing.
